BITE-CON Foundation Privacy Policy

BITE-CON Foundation (“BITE-CON,” “we,” “us,” or “our”) is committed to protecting the privacy and security of everyone who interacts with us—including event participants, Hands-On Lab attendees, partners, contractors, and website visitors. This Privacy Policy explains what information we collect, how we use it, and how we keep it safe. We aim to collect only the minimum information needed to deliver our programs, including Microsoft-supported training such as Azure AI Hands-On Labs.

We collect the following types of information:

       1.1 Information You Provide Directly

  • Registration details (name, email address, organization, role) when you sign up for BITE-CON events, programs, or training (including Microsoft Hands-On Labs).

  • Communications you send to us (emails, feedback forms, support requests).
     

1.2 Information Collected Automatically

When you visit our website (bite-con.org), we may collect:

  • Basic analytics data such as IP address, device type, browser type, and pages viewed.

  • Cookies required for site performance and security.
    We do not use advertising cookies or sell tracking data.

     

1.3 Facilitators, Volunteers, and Contractors

To support programs such as Azure AI Hands-On Labs, BITE-CON may work with qualified non-Microsoft facilitators.
For these individuals, we may collect limited information needed for:

  • identity verification,

  • onboarding,

  • contractual compliance (including Microsoft supplier requirements).

We use your information only for the following purposes:

  • Program and event operations (confirming attendance, providing lab access, sending updates).

  • Hands-On Lab facilitation (managing rosters, tracking participation, supporting learners).

  • Partner program reporting (e.g., anonymized metrics requested by Microsoft or other partners).

  • Security and compliance (protecting systems, detecting misuse, meeting contractual obligations).

  • Website and program improvement (basic, non-identifying analytics).

We do not use personal information for marketing without your permission.

We do not sell or rent personal information to anyone.

We share personal information only when necessary and only with:

3.1 Microsoft (and Other Program Partners)

Only when required to support program delivery—for example:

  • validating Hands-On Lab attendance,

  • reporting non-identifiable participation metrics,

  • ensuring compliance with Microsoft’s supplier and privacy standards.

We do not share passwords, sensitive identifiers, or learner content with Microsoft unless legally required.
 

3.2 Authorized Contractors / Facilitators

Non-Microsoft facilitators assisting BITE-CON may receive limited access to attendee information strictly for:

  • verifying registrants,

  • facilitating Hands-On Labs,

  • supporting training activities.

All contractors are required to:

  • sign confidentiality agreements,

  • follow BITE-CON and Microsoft privacy and security requirements,

  • use information only for program delivery.
     

3.3 Legal Requirements

We may disclose information if required to do so by law or to protect our rights, systems, or participants.

We use reasonable administrative, technical, and physical safeguards to protect personal information.
These include:

  • secure access controls,

  • limited, need-based access to attendee data,

  • encrypted storage when applicable,

  • confidentiality requirements for staff, volunteers, and contractors.

While no system can guarantee perfect security, we continually work to protect your information.

  • deliver the program you participated in,

  • meet legal or reporting requirements,

After that, we securely delete or anonymize the information.
